The role of a Sales & Purchase Person in a pet clinic is crucial for the clinic's retail and operational efficiency. This role combines inventory management, vendor relations, and direct customer sales of pet supplies, food, medications, and other related products.
Typical Sales & Purchase Responsibilities (Expected Duties):
Sales and Customer Service:
Retail Sales: Actively selling pet food, toys, grooming supplies, non-prescription supplements, and over-the-counter flea/tick products to clients.
Product Expertise: Developing in-depth knowledge of all retail products (e.g., specialized veterinary diets, specific medication brands) to provide informed recommendations to pet owners based on their pet's needs and veterinarian recommendations.
Merchandising: Ensuring the retail display area is clean, attractive, well-stocked, and organized.
Client Education: Educating pet owners on proper use, benefits, and specifications of purchased products.
Purchasing and Inventory Management:
Stock Control: Monitoring inventory levels for both retail items and essential clinic supplies (e.g., surgical gloves, syringes, cleaning materials, office supplies).
Ordering: Placing timely orders with various vendors (pharmaceutical suppliers, pet food distributors, general suppliers) to prevent stock-outs, especially for critical items and popular retail products.
Vendor Relations: Negotiating pricing, payment terms, and delivery schedules with suppliers to secure the best value for the clinic.
Receiving and Verification: Checking-in delivered stock against purchase orders, verifying quantities, inspecting for damages, and ensuring proper storage.
Inventory System Management: Accurately inputting stock data into the clinic’s inventory system and performing regular stock takes (physical counts) to reconcile with digital records.
Financial and Administrative Duties:
Processing invoices, managing vendor billing, and coordinating with the accounts department for timely payments.
Tracking sales data, identifying fast-moving vs. slow-moving inventory, and preparing reports for management to guide purchasing decisions.
Managing product returns (from customers or to vendors).
Required Skills and Qualifications (Based on the Role Title):
Experience: Previous experience in a sales, purchasing, or inventory management role is highly desirable. Experience in the veterinary, pet supply, or medical field is a significant advantage.
Analytical Skills: Strong numerical aptitude for inventory tracking, budgeting, and calculating profit margins.
Negotiation Skills: Ability to negotiate effectively with suppliers.
Organization: Exceptional organizational skills for managing diverse stock and multiple vendor relationships.
Communication: Excellent communication and customer service skills to interact positively with both vendors and pet owners.
Education: A relevant degree or diploma in Business Administration, Supply Chain Management, or a related field would be beneficial.
